Getting Started with Your Account

Setting up your WhatsEngine account is the first step to transforming your WhatsApp into a powerful task management system. This process connects your phone number to the system and establishes your personal settings.
Important: You’ll need access to your WhatsApp to complete phone verification during setup.

Step 1: Create Your Account

Registration Process

Visit WhatsEngine Dashboard

Go to web.whatsengine.net and click “Sign Up”

Enter Your Details

  • Full Name: Your display name for team members
  • Email Address: For account recovery and notifications
  • Phone Number: Your WhatsApp number (with country code)
  • Password: Secure password for dashboard access

Choose Your Plan

Select the plan that fits your team size and needs

Verify Email

Check your email and click the verification link

Phone Number Format

Enter your phone number with the international country code:
+1 555 123 4567

Step 2: WhatsApp Phone Verification

Verification Process

After registration, you’ll need to verify that you control the WhatsApp number:
  1. Receive WhatsApp Message: WhatsEngine sends a verification code to your WhatsApp
  2. Enter Code: Type the 6-digit code in the dashboard
  3. Confirmation: Your phone is now connected and ready to use

Verification Troubleshooting

Common Solutions:
  • Check that WhatsApp is installed and working on your phone
  • Ensure you entered the correct phone number with country code
  • Wait 2-3 minutes for message delivery
  • Check WhatsApp spam/blocked messages folder
  • Try manual verification instead
If you entered the wrong number:
  • Go to Account Settings → Phone Number
  • Click “Change Phone Number”
  • Enter the correct number and verify again
  • Previous verification will be cancelled
For users with multiple WhatsApp numbers:
  • Choose your primary work WhatsApp number
  • WhatsEngine works with one number per account
  • You can change numbers later in settings
  • Business WhatsApp accounts work perfectly

Step 3: Basic Profile Configuration

Personal Information

Profile Settings

  • Display Name: How team members see you
  • Profile Photo: Optional avatar image
  • Job Title: Your role in the organization
  • Department: Which team/group you belong to

Contact Preferences

  • Email Notifications: Daily/weekly summaries
  • WhatsApp Reminders: How often to receive them
  • Working Hours: When you’re available for tasks
  • Time Zone: Critical for accurate scheduling

Timezone Configuration

Critical Step: Setting the correct timezone ensures your tasks are scheduled accurately.
Choose your timezone from the dropdown menu:

🇺🇸 Eastern Time (UTC-5)    → New York, Toronto
🇺🇸 Central Time (UTC-6)    → Chicago, Dallas  
🇺🇸 Mountain Time (UTC-7)   → Denver, Phoenix
🇺🇸 Pacific Time (UTC-8)    → Los Angeles, Seattle
🇬🇧 GMT (UTC+0)             → London, Dublin
🇪🇺 CET (UTC+1)             → Paris, Berlin, Rome
🇮🇳 IST (UTC+5:30)          → Mumbai, Delhi
🇯🇵 JST (UTC+9)             → Tokyo, Seoul
🇦🇺 AEST (UTC+10)           → Sydney, Melbourne

Working Hours Setup

Define when you want to receive task reminders:
Monday - Friday: 9:00 AM - 6:00 PM
Saturday: Off
Sunday: Off

Reminders: During working hours only
Urgent tasks: Allow after-hours notifications

Step 4: Initial Dashboard Setup

Dashboard Preferences

Customize your dashboard experience:
Choose what you see when you open the dashboard:
  • Today’s Tasks: See what’s due today (recommended)
  • All Tasks: Complete task overview
  • Team View: Focus on team assignments
  • Calendar View: Timeline perspective
Configure how the dashboard communicates with you:
  • Browser Notifications: For real-time task updates
  • Email Summaries: Daily or weekly task reports
  • WhatsApp Alerts: Critical notifications via WhatsApp
  • Sound Alerts: Audio notifications for urgent tasks
Personalize the visual experience:
  • Theme: Light, dark, or auto (follows system)
  • Density: Compact or comfortable layout
  • Colors: Choose your preferred accent colors
  • Language: Interface language preference

Step 5: Test Your Setup

Verification Checklist

Before inviting team members, test everything works:

Send Test WhatsApp Message

Text “today-15:30 test my setup” to the WhatsEngine bot number

Check Dashboard

Verify the test task appears in your dashboard within 30 seconds

Complete Test Task

Text “done [task-id]” to mark the test task complete

Verify Completion

Check that task status updates to “completed” in dashboard

Expected Test Results

✅ WhatsApp Message Sent: "today-15:30 test my setup"
✅ Bot Response: "Task scheduled for today at 3:30 PM [ID: 1]"
✅ Dashboard Update: Task appears in "Today's Tasks"
✅ Completion: "done 1" marks task complete
✅ Status Update: Task moves to "Completed" section

Account Security

Security Best Practices

Password Security

  • Use a strong, unique password
  • Enable two-factor authentication
  • Don’t share your login credentials
  • Log out from shared devices

Phone Security

  • Keep your WhatsApp account secure
  • Don’t share the bot’s contact
  • Report suspicious messages immediately
  • Use WhatsApp’s built-in security features

Common Setup Issues

Error: “This phone number is already associated with another account”Solutions:

  • Use a different phone number if you have one

  • Check spam/junk folders
  • Make sure email address is correct
  • Try resending verification email

Error: Bot doesn’t respond to messagesSolutions:
  • Verify your phone number in account settings

  • Try sending “help” to the bot
